  • Heyford Park Free School is located at the heart of Heyford Park in Oxfordshire – the site of a former RAF and US Air Force base – and reflects the strong community spirit we have here at Heyford Park.

  • We are looking for an Office and Admissions Manager to join our busy office at the heart of our school.

    Role of the Office and Admissions Manager:
    • To liaise with the School Business Manager to ensure that all administrative and legal procedures are adhered to.
    • To act as line manager for reception /administration staff
    • To work with the School Business Manager to continually improve administrative services and procedures throughout the school
    • With Principal and Head of School ensure arrangements for the cover of absent staff
    • To oversee the admissions process for the school
    • Ensure MIS is managed effectively
    To lead, manage and develop:
    • Manage pupil admission process working with governors, families and local authority
    • Provision of information to support governors in application of admissions policy
    • Ensure parent information is relevant and current to support new admissions
    • To process the applications for all new admissions
    • To plan and organise all visits by prospective parents, including staff liaison and all matters relating to student tours.
    • To maintain the admissions database, ensuring that enquiries are handled effectively and tracked right through to admission.
    • MIS system input and housekeeping for all student data including timetabling
    • Transfer of student details between schools
    • Determine the need for and arrange provision, analysis and evaluation of data and detailed reports/information
    • Be responsible for the submission of relevant information to SLT, the Governing Body and outside agencies
    • Publication of documents relating to areas of responsibility in a format, which can be understood by a variety of audiences.
    • Systems to ensure compliance to regulations in respect of school exclusions ensuring the production and distribution of letters and recording of same.
    • To oversee the administration processing of attendance and behaviour on a weekly basis.
    Reception and Administration
    • Reception duties and administration roles and duties
    • The school telephone & communication systems
    • Office procedures comply with the Data Protection Act and other relevant legislation
    • Communication with relevant external agencies as appropriate to responsibilities
    Staff Development
    • Be responsible for the training of relevant staff on ICT and administration systems as required.
    • Be responsible with AP Outcomes for training of staff in examination regulations
    • Be responsible for training of invigilators as required
    • Budget holder for General Office budget
    • Comply with and assist with the development of policies and procedures associated with role including confidentiality and data protection, reporting all concerns to an appropriate person
    • Be aware of and support differences and ensure equal opportunities for all.
    • Contribute to the development and implementation of the overall ethos/aims of the school.
    • Develop constructive relationships and communicate with other agencies/professionals.
    • Participate in training and other learning activities and performance development as required.
    • Recognise own strengths and areas of expertise and use these to advise and support others.
    • Liaise with senior staff to establish best working practices and ensure their implementation.
    • Represent the school at internal and external meetings as appropriate.

  • Salary: Grade 7 Point 23-25, £21,074 - £ per annum (pro rata accordingly)

    37 hours per week (FT), 41 weeks per year
    Permanent Position
    Monday to Friday 08:30 – 16:30
